Appointment Cancellation and No Show Policy

At Veterinary Specialty Center, we are committed to providing excellent medical care for all our patients. When you schedule a specialty appointment, that time is reserved exclusively for you and your pet. Missed appointments prevent other patients from receiving the timely care they need. To ensure we can best serve all our clients and their pets, we kindly ask that you adhere to the following policies:

Appointment Confirmation

Please confirm your appointment when reminders are sent, or promptly return our call if we contact you regarding your upcoming visit.

Late Arrival Policy

  • Arrival Time

    Arrive at least 10 minutes before your scheduled appointment time to ensure your pet receives the full attention and care they deserve.

  • Forms

    Complete any required new client or intake forms in advance to help our medical team prepare for your visit.

  • Late Arrivals

    Clients arriving 10 minutes or more after their scheduled appointment time will need to reschedule to avoid disrupting the day’s schedule. Rushed or "squeezed-in" appointments compromise the quality of care we strive to provide.

Cancellation Policy

Notice: If you need to cancel or reschedule an appointment, notify us at least 48 hours in advance. This courtesy allows us to offer the appointment time to another patient in need.

After-Hours Cancellations

If you are unable to call during business hours, please leave a message on our voicemail.

No-Show Policy

  • Definition

    A "no-show" is any missed appointment where no prior notice was given.

  • First Occurrence

    If you miss an appointment without cancelling, we will contact you via phone, text, or email to inform you of the missed appointment and remind you of our policy. The missed appointment will be recorded in your pet’s medical record.

  • Prepayment Requirement

    Following a no-show, you must prepay the examination fee to schedule another appointment. If you keep the appointment, the prepayment will be applied to your visit's invoice. If the appointment is missed again, the prepayment will be forfeited.

  • Multiple No-Shows

    After three no-shows, we will terminate the veterinary-client-patient relationship.

Policy for New Clients

If you are a new client and miss your scheduled appointment without notifying us in advance, you will be removed from our client list and will not be able to book future appointments.

These policies are designed to ensure timely, high-quality care for all of our patients and to respect the time of both our clients and our staff. We appreciate your understanding and cooperation.
